T4 Filing Checklist (Canada)

T4s are required for any employer who paid salary or wages in Canada. Use this checklist to make sure you have everything ready before filing.

1) Employer information
  • Business number / payroll account (BN/RP)
  • Company legal name and address
  • Contact name, phone, and email
2) Employee information
  • Legal name
  • Address
  • SIN

True North Payroll does not store SINs. If you enter a SIN for T4 export, it is used only to generate the file and is not saved.

3) Payroll totals (per employee)
  • Employment income
  • CPP contributions
  • EI premiums
  • Income tax deducted
4) Filing deadline

CRA requires T4 slips and summaries to be filed by the last day of February following the calendar year. Employees must receive their T4 slips by the same deadline.

If you file electronically and issue more than 5 slips, CRA requires electronic filing.

5) Filing method

Most small employers use CRA Web Forms. Larger batches can be filed through Internet File Transfer (IFT).
